Episodik Privacy Policy

HabitHabitant LLC ("we", "us", or "our") respects your privacy. This Privacy Policy explains how information is handled when you use Episodik (the "App") and the Episodik website at episodik.io (the "Site"). For our other products, see the privacy policy index.

1. Information We Process

Depending on the features you use, the App may process the following information:

  • Vocabulary data (words, example sentences, notes, etc.)
  • App settings
  • Account information
  • Subscription information
  • Anonymous user identifiers
  • Usage analytics
  • Diagnostic information such as crash reports

2. How We Use Information

We use the information we collect or process to:

  • Provide and operate the App
  • Manage subscriptions
  • Authenticate users
  • Provide AI-powered features such as definitions, translations, and classifications
  • Improve reliability and fix issues
  • Analyze product usage

We do not sell your personal information.

3. Data Storage

Vocabulary Data

Your vocabulary entries, example sentences, notes, and other learning data are stored locally on your device.

We do not store this content on our servers.

Account Information

To provide subscription management and account-related features, we may securely store limited information on our servers, including:

  • Internal user ID
  • Authentication-related information
  • Subscription status
  • Other information necessary to provide the service

We do not use this information to analyze your vocabulary data, serve advertisements, or train AI models.

4. Third-Party Services

The App and the Site may use third-party services for purposes including:

  • Subscription management
  • Analytics
  • Crash reporting
  • Authentication
  • AI-powered processing
  • Push notifications
  • Cloud storage
  • Payment processing
  • Contact form delivery
  • Beta distribution

Examples of services include:

  • RevenueCat
  • PostHog
  • Sentry
  • OpenAI
  • Sign in with Apple
  • TestFlight (beta distribution — see "8. Contact and Beta Test" for details)
  • Web3Forms (the contact form on the Site — see "8. Contact and Beta Test" for details)

Only the information reasonably necessary to provide these services is shared.

Please refer to each service provider's privacy policy for more information.

5. AI Features

When you use AI-powered features such as generating definitions, translations, or classifications, only the text necessary to provide the requested functionality is transmitted to AI service providers.

Your vocabulary database is never continuously synchronized with AI services.

Information sent to AI service providers is handled in accordance with the policies of the respective providers.

As of the effective date of this Privacy Policy, data submitted through the OpenAI API is not used to train or improve OpenAI's API models. For the latest information, please refer to OpenAI's official documentation and privacy policy.

6. Sharing of Information

We do not sell or disclose your personal information to third parties, except:

  • where required by applicable law;
  • where necessary to protect our legal rights; or
  • where required to provide the App through trusted service providers.

7. Account Deletion

You may delete your account at any time from within the App.

After your account is deleted, your account information stored on our servers will be permanently removed (hard deleted) within a reasonable period, except where retention is required by applicable law.

Vocabulary data stored on your device can be removed at any time by deleting the App or its local data.

8. Contact and Beta Test

When you use the contact form on the Site (https://episodik.io/contact), we process the following information:

  • Your name
  • Your email address
  • The content of your message
  • The display language selected when the message was sent
  • The submission date and your IP address

We use this information solely to respond to your inquiry.

We do not use it for marketing or any other purpose.

Processor

We use Web3Forms, a form delivery service operated by Web3Creative from India, to run this form. We are the data controller and Web3Creative acts as our data processor under its Data Processing Agreement.

Submissions are stored on the Web3Forms servers, where we read them through the service's dashboard.

Web3Creative uses Amazon Web Services (hosting, database, and mail delivery), Cloudflare, and Hetzner as sub-processors.

Data is encrypted in transit over TLS and encrypted at rest.

For spam prevention, the sender's IP address and email address may also be sent to the spam filtering services CleanTalk and Akismet.

Retention

Submissions are retained for a maximum of three years from the date of submission and are then deleted automatically.

We may delete them sooner, once your inquiry has been resolved.

Transfer outside Japan

Web3Creative operates from India and its infrastructure spans several regions, so the country in which a submission is held cannot be identified as a single one.

By submitting the form, you consent to the transfer of the above information to a third party in a foreign country.

Applying to the beta test

To apply for the beta test, you send us the following through this form or by another route. Where you do, it is handled as set out in this subsection.

  • The email address of your Apple Account
  • Your name or a nickname (optional)
  • Where you meet English (optional)

The email address of your Apple Account is used only to distribute the beta. The beta is distributed through TestFlight, so the address is provided to Apple Inc. in order to register you as a tester and send the invitation. Apple's handling of it is governed by its privacy policy (https://www.apple.com/legal/privacy/).

Your name or nickname is added to the Special Thanks in the App as a thank-you, and only if you ask for it. It is optional, and nothing is published if you do not. To have it removed afterwards, write to us through the contact page.

Where you meet English is used only to inform development and is never published.

Everything you send as part of an application is deleted when the beta test ends, or when you withdraw your application, whichever comes first. The copies held by the form delivery service are deleted at the same time.

Other channels

If you contact us by other means, such as a direct message on X, that communication is handled under the privacy policy of the service concerned. Where you send the information above as a beta test application, however, it is handled as set out in the previous subsection whichever route it arrives by.

This form is a feature of the Site and is unrelated to the vocabulary data described in "1. Information We Process." The two are never linked.

9. Children's Privacy

The App is not intended for children under the age of 13, and we do not knowingly collect personal information from children under 13.

10. Changes to This Policy

We may update this Privacy Policy from time to time.

Material changes will be announced on this page together with the updated effective date.
